Each year there are predictable maintenance items to make the most of your rostered school / district Flocabulary account. In this article we will summarize what account administrators need to do for a successful end of year and successful back to school season.

Flocabulary Archive Date
As part of our annual maintenance, we will automatically archive all of your classes in late July to prepare for the upcoming school year. If a class is archived, it may still be retrieved by going the the “Classes” tab and clicking the “Archived” tab at the top to reactivate that class. Review Managing Existing Classes for more step by step information on how to access archived classes.
Pausing Data
If your accounts are rostered using Clever or Classlink, you may choose to pause your data during the summer months, however this is not a requirement for Flocabulary.
If you are using Flocabulary for Summer School, we recommend you do not pause your sync so that Flocabulary classes can be updated to your summer rosters.

Adding New Schools
As districts grow, reconfigure and adapt to the changing educational landscape, you may find that your current list of buildings/sites is no longer accurate. In the event you need to add a new building/site, remove closed sites, or rename a current site you will need to make adjustments to your rostering methods.
If your accounts are rostered using Clever or Classlink, please:
- Update your sharing rules to your current sites from within Clever/Classlink -AND-
- Send a request to integrations@nearpod.com or reach out to your Customer Success Manager notifying us of the necessary adjustments.
- Once the updates have been made on our end we will send a confirmation email.
Updating Rosters
It is important to update your rosters as the new school year begins to ensure any new or reassigned staff has the access to Flocabulary they require.
If your accounts are rostered using Clever or Classlink and actively syncing (not paused), Flocabulary accounts will update for new/transferred staff as it is shared within your SIS and synced to Clever/Classlink (typically once a day).
If your teacher accounts are rostered using an activation link, you may manage your teacher accounts from your administrator page (My School). Please review Managing your Flocabulary subscription to learn more.
Changing Rostering Preferences
If you are considering changing the way you are rostering accounts, please contact your Customer Success Manager to ensure a smooth transition.
Changing District Email Domains
Moving to a new email domain? This may affect the status of your current accounts and create some added stress for teachers. To avoid any unintended disruption in using your school or district Flocabulary accounts, contact your Customer Success Manager or email support@nearpod.com. By alerting Flocabulary to any upcoming changes, your CSM or a Support Specialist can guide you through this process.
